Function-based approvals use a process map's job functions to identify which members of an approver role need to approve a draft.

Before you begin

  • The role that will approve drafts must have the Approve Processes feature.
  • Job functions must be assigned to the process map.
  • People who count toward a function approval need confirmed membership in the relevant job function.

Choose the approval mode

  1. Open Approvals & Reviews.
  2. For each approver role, choose Function instead of Single approver.
  3. Set Required Approvals to the number of that role's members in each job function assigned to a process who must approve.
  4. Save the settings.

With Single approver, the draft author chooses one person. With Function, Phoenix checks each job function on the process and requires the configured number of eligible role members from that function.

Lock a draft for approval

When preparing a draft for approval, review the Job Functions selected for the process. Phoenix checks that enough eligible approvers are available and shows the number available and required. Resolve any readiness messages before submitting the draft.

For the existing approval steps, see Approve Draft Maps.
