Archive a custom process, activity or deliverable property when it is no longer needed for new data entry. Archiving removes it from the active property lists while keeping its recorded values. It does not archive or delete the process maps that use it.
You need permission to manage properties to archive them. Opening Archived Properties, restoring properties and deleting them permanently also require library administrator access.
Archive a property
- Open Properties in Library Settings.
- Choose Process Properties, Activity Properties or Deliverable Properties.
- Find the property and choose its Archive action.
- Read the confirmation and confirm the archive.
The property disappears from the active list. Its existing values are kept. You can find the archived definition and retained value counts on Archived Properties. Archiving a group archives the properties within it too.
Archived values are hidden on maps by default. To display retained values without restoring the property, see Show Archived Property Values on Maps.
Review archived properties
Open Properties > Archived Properties. Each row shows the property's name and group path, category and type, archive date, retained value counts and map visibility setting.
Values kept counts stored value records, including historical versions and potentially blank values. It is not a count of only the nonblank values on current published maps.
Restore a property
- Open Archived Properties and find the property.
- If it belongs to an archived group, restore the group first.
- Select Restore.
- Check the result message and return to the relevant active properties tab.
Restoration makes the same property and its retained values available again. Restoring a group does not automatically restore all the properties within it; restore the required children afterwards.
If restoration is blocked, follow the message to resolve the conflict. For example, another active property may have the same name in the same group. A conflict with featured or quick-search settings may offer Restore without its featured and quick-search settings; use this only if you want to restore without those settings.
Permanently delete an archived property
Permanent deletion cannot be undone through Restore. It removes the property's retained values in this library, including historical values, and removes associated property configuration. Archive the property instead if you may need its data again.
- Open Archived Properties and find the property.
- Select Delete.
- Review the property name and the process and shape value counts in the confirmation.
- Confirm only when you are ready to remove the property and its values permanently.
A group cannot be permanently deleted while it still contains properties. Deal with its children first. If the retained value counts change before deletion, review the refreshed information and try again.
Archiving and restoration preserve retained data. They cannot recover values removed by an earlier permanent deletion or protect values from a later incompatible property type change.
