Search Insights shows the terms people submit on the library search page and the results they select. Use it to identify content to review and to understand which terms lead people to useful material.
You need Configure analytics to open the report. Collection must have been enabled in the library for data to be available. See Enable Search Insights for setup.
Open and filter the report
- Open Search insights in Library tools and choose Search terms.
- Choose From (UTC) and To (UTC) dates.
- Choose a Source, or leave All sources selected.
- Optionally enter part of a term in Search term contains.
- Select Apply.
The date range can cover up to 366 days, subject to the library's retention period. If the report asks you to narrow the results because there are too many searches, use a shorter date range or enter a search term. It does not show partial totals as though they were complete.
Choose a view
The View selector changes the grid's filters, ordering and visible columns while keeping your report dates, source and term filter.
- All searches shows all terms, ordered by number of searches.
- Searches with no results shows terms with at least one zero-result search, with the highest counts first.
- Low click-through rate shows terms with at least five shown searches and a click-through rate below 25%, with the lowest rates first.
- Most selected searches shows terms that led to a result selection, ordered by the number of searches with clicks.
Use column filters, sorting and the column chooser to investigate further. Manual adjustments show the view as Custom. Choosing a predefined view resets the grid to that view. Custom adjustments cannot be saved; selecting Apply reloads them as All searches.
Understand the figures
- Searches: submitted search attempts for the term. Submitting the same term again counts separately; refreshing or paging through an existing search does not.
- Click-through rate: the percentage of successfully shown searches with at least one recorded result click. Zero-result searches are included. Multiple clicks from one search still count as one search with a click.
- No results: shown searches with no results from the working sources in scope.
- No click: shown searches that had results but no recorded result click within 30 minutes.
- Shown: searches whose results display was confirmed and at least one source worked.
- With clicks: shown searches with a recorded result selection.
- Failed sources: searches where one or more sources in scope could not be searched.
- Unconfirmed: searches whose successful results display has not been confirmed.
Additional figures are available through the column chooser. Failed sources is shown automatically when failures are present. Searches where every source failed are excluded from click-through rate, No results and No click. A partly working search can still contribute outcomes from its working sources.
Recent figures can change while clicks are still being attributed. No click does not prove that someone failed to find an answer: they may have read enough in the results or chosen not to open an item.
See which results people selected
Expand a search term's row to see selected content, its source, click count, the number of searches that selected it and its Best position in the results. Clicks can exceed searches when someone selects several results.
Some historical destinations may not show a title or link because current access cannot be confirmed. Permissions, source availability or document ranking changes can cause this. Their recorded clicks remain counted; an unverified destination does not by itself mean access was denied.
Turn findings into improvements
- Start with repeated searches with no results. Search for the term yourself using the same source. Check whether the content exists, uses different wording or is only available to a different audience. Consider clearer titles or missing guidance.
- Investigate low click-through terms. Review the results for relevance, clarity and competing items. Check Failed sources before assuming the problem is missing content.
- Review common and most selected searches. Identify frequently needed material and check that it is current and easy to find.
- Compare after making a change. Revisit comparable date ranges and source filters. Treat changes as evidence to investigate alongside user feedback.
