Admins can create Properties from the Properties page of Process Library.
Properties are used to add more information to a Process Map, Activity or Deliverable. This enables you to create a map which can be understood 'at a glance' while not leaving any important information out. This information can range from the map author to who is responsible for an activity being carried out to data such as an address or bank details and anything in between.
As standard, only Admins can create Properties.
Admins can create Properties from the Properties page of Process Library:
- Click on the Properties menu option in the Library Settings section of the menu on the left hand side of your screen. From here you can create; Process Map, Activity and Deliverable Properties, the process is the same for each Property. You can also create Answer Sets from this page.
- To add a Property, click on the type of Property you would like to add from the menu.
- You will be taken to the 'Property Editing Screen', you can add a new Property using the box at the top of the screen.
- Type the name of the property into the 'Text' field, then select the Property Type from the dropdown.
- The Property Types are:
- String - a free text field
- Drop-down - a dropdown list, this can be populated with an Answer Set
- Checkbox - a single box to be checked or unchecked
- Date only - a date to be selected from a dropdown calendar
- Spin - a single number which can be increased or decreased using arrows
- Duration - a set of three numbers to represent hours, minutes and seconds which can be increased or decreased using arrows
- Hyperlink - a link to resources inside or outside Process Library (SaaS)
- Colour - a colour pallet which can be updated using a colour selector, RGB or HEX values
- Date & Time - a date and time to be selected from a dropdown calendar and clock
- Group - a group of Properties, this is similar to creating a folder of similar Properties
- If you have selected Drop-down then a third Answer Set box will appear, choose the relevant Answer Set from the drop-down list.
An Answer Set is a list of potential Property values which can be used in the Drop-down field for all relevant Properties to stop you from needing to fill in the same values again and again. For example, 'Process Map - Author' would contain the names of everyone in your organisation with permission to create Process Maps.
- Once you have filled in each field click on the Add New button to add your new Property.
- Your new Property be added to the Property list.
If you are adding several Properties at once you will need to type over the existing text from the last Property added, this will not erase the existing Property as long as you click Add New and not Update.
- Drag and drop your Property to reorder where it sits in the property list.
